Job Description- Labor and Logistics Coordinator
The Labor and Logistics Coordinator for 4Productions will have the responsibility for oversight in technical event staffing at various events, including, but not limited to corporate and trade shows, etc.
The job involves sourcing staff and handling all administrative details.
The role will also require the employee responsible for making sure all aspects of the logistics department operate efficiently and accurately in the face of fast-paced growth.
Does related work as required.
Essential Functions
Depending on the venue, client and /or event, creates and submits detailed labor estimates based on the client’s requirements for number of persons by position and estimated number of hours and days required.
Staffing - Utilizes, if available, 4P crew lists first. Filling in the balance of the crew with the most qualified employees available using our LASSO crewing application.
Resolves crew issues, verifying requirements for each day, confirming availability of crew and increase or decrease staff size as necessary.
Advises the salesperson/project manager/client of contractual compliance requirements and the financial impact and compiles, calculates and processes hours per show, including appropriate splits for billing purposes.
Provides the client with daily running totals of labor cost.
Contacts union local, if required, to obtain a one-off agreement.
Processes accident reports as needed on Worker’s Comp Claims.
May use computer applications or other automated systems such as spreadsheets, word processing, calendar, email and database software and proprietary 4Productions software.
Working with our internal travel coordinator to facilitate travel for techs.
Work with sales, operations, and warehouse management to find solutions to shipping challenges.. This includes expanding contacts with freight forwarders and shippers, decreasing transit time, reducing unnecessary shipments and more.
Become familiar enough with the 4Productions inventory.
Help facilitate processes between account managers, warehouse managers and Operations.
Report out on shipping costs
Identify opportunities to lower shipping costs.
May perform other incidental tasks, as needed.
May be on call as needed evenings or weekends.
Qualifications
Two years of experience supporting Labor Staffing/Logistics in an event environment preferred, but not necessary
Proficiency in MS Office, Word, Excel and Outlook
Scheduling experience preferred
Have proven logistics and management success in a fast-paced sales driven company

You are an effective communicator
Education
Graduation from High School or possession of an equivalency diploma
One of the above years of specialized experience may be substituted with one year of successful full-time college education
College Degree preferred but not necessary
Other Requirements
Knowledge: Good knowledge of the principles and practices of show staffing; working knowledge of accounting and payroll practices and procedures
Skills: Excellent communication skills; skill in negotiating rates
Abilities: Ability to multitask effectively in a fast paced, changing environment; ability to oversee the work of others; ability to understand and utilize complex payroll information
