Corporate Tradeshow Planner

• Location – Richardson Texas/Field



We're seeking an energetic, creative, and experienced Trade Show & Event Planner who is responsible for the planning, organizing, and managing of global tradeshows and corporate events. This is an exciting opportunity for an experienced trade show planner with proven skills for keeping engagement levels high in a fast-paced environment and driving results through collaboration, resourcefulness, and teamwork.

Responsibilities • Trade Show & Event Planner is responsible for the planning and execution of corporate trade shows and external, customer-facing events to ensure alignment with corporate strategy and event objectives

• Understanding of company products, personnel roles, and events to best assemble a plan to support corporate events and tradeshows

• Develop, present, and implement comprehensive engagement strategies for digital, in-person and hybrid events

• Develop the strategy, planning, and execution for marketing outreach to engage attendees to set up meetings in advance, onsite, and post-event to increase MQL/pipeline goals. Ensure timely processing of show leads and distribution to Market

• Create and manage pre and post event briefs and timetables, deploy communications, and track and manage sales meeting reports.

• Preparation of timelines, status reports, cost analysis, and other reports as requested

• Collaborate with in-house graphics team, sales team, and marketing partners as well as tradeshow display agency to secure booth materials, promotional items, and marketing materials needed for each event

• Event Sourcing, and vendor selection including research, analysis, recommendations, and contract negotiation

• Collect competitive event participation intelligence

• Management, organization, and execution of all logistical aspects of assigned events and projects, within budget plans and/or guidelines including booth design, meetings, support staff requirements, giveaways, budget, housing, AV, F&B, marketing, messaging, special events, and any technology platforms as required

• Manage event suppliers & vendors for event service orders, housing lists, service orders, room set-ups, meeting materials, and catering menus

• Coordinate with Logistics to manage shipping equipment and materials going to and from events

• Works independently and within a team on special nonrecurring or ongoing marketing and promotional projects

• Act as “Chief Operating Officer” of the booth space, schedules, communicating, and training in-booth staff

• Strong in-house communication skills and keeping employees informed on programs and next steps to ensure appropriate travel deadlines and onsite agendas are clearly understood

• Manage budget forecast, negotiations, and post even reconciliation including pre/post-con cost analysis, reports, and attendee feedback

• Evolve and maintain ROI metrics for each event and provide future participation recommendation

• Drive improvement from each event by continuously looking for ways to elevate show presence • This position has no supervisory responsibilities Qualifications

• Minimum 5+ years of proven experience in marketing with expertise planning tradeshows and corporate events

• Experience building large custom US and international exhibit designs • Lead event planning with emotional intelligence and a high degree of business acumen while demonstrating a calm, positive, flexible, and collaborative attitude when working in dynamic and fast changing scenarios

• Ability to apply strong conceptual and creative thinking to event planning activities to help define vision, mission, and goals

• Strong interpersonal and organizational skills, excellent oral and written communication skills, and a demonstrated work ethic

• Demonstration of intellectual agility to focus on both the big picture and manage the details, combining first–hand experiential marketing experience with strategic methodologies and tactics

• Advanced negotiation and contracting skills - ability to understand and interpret financial data – proven budget management experience

• Project management experience working across virtual teams and different time zones • Managing multiple vendors and tracking their performance and timelines

• Ability to manage multiple competing projects at various levels of scale on tight deadlines • Existing relationships with event production and exhibit vendors

• Proficiency in MS Office Suite: Outlook, Word, Excel, Teams, PowerPoint

• Frequent travel required • CMP or CTSM Credentials preferred
